Toner keeps running out? Here is how automatic toner delivery works

How automatic toner replenishment works for Edmonton offices: remote monitoring, delivery timing, costs and what you stop worrying about.

Scott Townsend, UrFleet, Edmonton

Running out of toner is one of those small problems that costs more than it should. Someone notices the warning too late, a rush order goes in at retail price, and in the meantime the printer sits idle. Automatic toner delivery fixes it for good.

How it works

  1. Your printers report in. A small, secure monitoring tool on your network reads each printer's toner levels, page counts and error messages. It doesn't read the documents you print.
  2. We watch the levels. When a cartridge drops to a set level, the system flags it for replacement.
  3. Toner ships before you run out. The right cartridge is sent to the right address, timed so it arrives before the old one is empty.
  4. You swap it in. Or, if it's included in your plan, we do it during a visit.

What you stop doing

  • Checking printers for low toner warnings.
  • Looking up cartridge numbers and ordering from three different websites.
  • Keeping a cupboard full of spare cartridges, some for printers you no longer own.
  • Paying rush prices when one runs out on a Monday morning.

What it costs

With managed print, toner is usually included in a cost per page, alongside parts and service. You pay for the pages you actually print, on one monthly invoice, instead of buying supplies piece by piece. Here's how cost per page pricing works.

Is it worth it for a small office?

If you have more than a couple of printers, or anyone on your team spends time ordering supplies, it usually is. The bigger win isn't the toner price, it's never thinking about it again.
