Case Study

Case study: CorBec Management Group

From one leased copier in 2017 to a full technology partnership: how an Edmonton property management company runs print, IT, security, AI phones and its website with one partner.

Technology partner since 2017

Property management Edmonton, Alberta 7 UrFleet services One point of contact

The client

CorBec Management Group Inc. is an Edmonton property management company. Today it runs with five full-time team members and a wider team of external contractors, from a head office plus the properties it manages. UrFleet supports both.

Where it started: print, in 2017

When CorBec opened in 2017, the office ran on three computers and a server. Property management runs on paperwork, and CorBec's biggest print job came once a year: full print packages for large annual general meetings. That demand is what brought CorBec to UrFleet, starting with a leased Xerox VersaLink copier.

The challenge: an IT provider that wasn't keeping up

By 2023, CorBec had grown, and its IT provider at the time wasn't keeping pace. Response times were poor, and the security tools that should have been protecting the business weren't in place, which left it exposed. Having trusted UrFleet with print for years, CorBec gave us the opportunity to take over its IT.

What changed

In October 2023, UrFleet took over CorBec's IT with a full managed plan: help desk, monitoring, Microsoft 365 management and our security stack. Since then, our help desk has handled the day-to-day for both head office and properties:

  • New computer setups and onboarding for new staff, including email and accounts
  • Scan-to-folder and printer scanning
  • Door fob access programming and remote setup
  • A company-wide rollout of the Keeper password manager
  • Outlook and distribution lists
  • Laptop checkups before staff travel
  • Proactive Microsoft 365 security advisories

A security incident, caught immediately

When one of CorBec's Microsoft accounts was compromised, our monitoring caught it right away. We forced password resets to lock the attacker out, then walked CorBec through what happened and how to stay safe. This is exactly the kind of risk the old setup had left open.

Equipment that stays current

Rather than running computers until they fail, CorBec leases its technology through UrFleet on an evergreen cycle. Over the relationship, that has meant:

  • Three copiers, from the first VersaLink to the Xerox AltaLink colour multifunction installed in 2024
  • Two full desktop refresh cycles, with replacement desktops on the newest lease
  • One predictable monthly payment that bundles hardware and services, including a three-year AI receptionist subscription on the latest lease

Growing with AI

An AI receptionist for tenants and staff

CorBec's new UrFleet AI receptionist answers after-hours tenant calls and staff calls, takes maintenance requests and live-transfers emergencies to the right person. Every call creates a ticket in HubSpot and adds notes to the new CRM UrFleet is setting up for CorBec. Once CorBec cancels its current answering service, the AI receptionist is expected to save about $800 a month.

A website and chat agent with the same brain

Next, UrFleet is moving CorBec's website under our management, with monthly maintenance that costs less than its current vendor. From there, we'll work with CorBec on an updated website that better represents the business, with an embedded chat agent that shares the same knowledge as its AI receptionist. Tenants get the same answers whether they call or type.
